PTSO Minutes

February 1, 2024, 5:30 pm

Present: Joanna Davis, Amy Archer, Laura Suprenard, Samantha Eplin-Coe, Marie Naple, Mechelle Sein, Ashley Hughey, Sage Keck

PTSO Past Events:

School Spirit Wear Shop: First opening was very successful. We profited $750 from the shop. The distribution was a little hairy but we are requesting changes be made to the order form for the spring opening. Spring shop opening will coincide with the K Roundup, open April 8-19. There will be a QR code to order in the Kindergarten packet handed out at the roundup and order links will be posted on social media, and sent via text.

Auction: all auction items/money distribution were sorted out. Please refer to the auction financials for specifics.

Upcoming Events:

Pick Your Partner Dance: the date has been changed to Friday, February 23 5:30-7pm in the school cafeteria. Volunteers and donations will be requested Sign Up Genius (which is now live) Sign Up Genius

(Teachers please share this link in your weekly newsletter/class announcements) Community Media will be printing the flyers for us in color and Sage will pass them out to homeroom teachers when they arrive. Ticket sales will be 2/16 and 2/20 by the flagpole from 8-8:30. We have a maximum capacity of 450 tickets to sell and they are $5 each. The PTSO will be putting feelers out for a DJ and popcorn stand. Joanna will ask Mr. Ferguson to compile a song list of appropriate music and kid-friendly dances.

Gator Run:

The Gator Run date has been moved to Thursday, March 7th so Mr. Ferguson could attend. We are going to use a digitized form for business sponsorships and are looking for businesses to sponsor different “prize levels”- likely around a $250 sponsorship. Custom GES Croc charms have been ordered for the Tier 1 prize and goods for spirit packs have also already been ordered!

Treasurer Report: Ashley reported most financials are up to date. She is also renewing the SunBiz account with proper names and Board Member titles.

Business Partner Support: Mechelle will be compiling up-to-date folders containing the graphics of all our current sponsors for ease of use for Gator Run. We will also use this folder to make sure we are advertising these businesses as stated on their sponsorship form.

Mrs. Archer Updates: Mrs. Archer shared the A+ status and would like the PTSO’s support in giving each student a school spirit shirt as they did last year. Girls on the Run and Groovin’ Garden Gators both have spring groups which have started up already. She thanked the PTSO for the lab refresh of the 4th lab. Mrs. Archer also moved to have the date of the Staff Appreciation Q3 luncheon to coincide with the Gator Run- so that will be moved to 3/7/24 (currently 3/6). Approved.

Next meeting date: Scheduled for 3/7/24 (the day of the Gator Run) but it has been cancelled. See you at the April meeting.

11/2/23

Minutes: Motion to approve October minutes, Seconded by Stephanie Klinge. Minutes approved. 

PTSO Past Events:

Great feedback was given about the Harvest Festival, which was a huge success! Families had a great time and our first Harvest Fest back post-Covid and Hurricane Ian was small but mighty. Feedback included: more ticket opportunities (games, experiences, bounce houses, silent auction, sales of items- glow sticks, etc, photobooth) There was also feedback to offer snack or lower-priced food opportunities like slices of pizza, cotton candy, hot dogs, etc instead of full pizzas or full dinners. There were approximately $6250 worth of ticket sales. Each booth that did not make $250 were given funds so their bottom line was at least $250. We will be checking dates for next year, which will depend on VHS Homecoming and possibly other home games/community events. We will solidify that (hopefully) in June.

Upcoming PTSO events:

School Spirit Spirit Wear Shop: “go live” date will be Monday, November 6 and will run through November 19. Joanna will post reminders on Facebook along with the link. Most goods will be delivered to the school where they will be sorted and dispersed prior to the winter break! Thank you, Graphics by Jason, for hosting our School Spirit Shop.

Online Auction: looking to go live after Thanksgiving. If you have items or experiences for PTSO, kindly make certificates and send to “0381- PTSO” as soon as you can so they can be uploaded to the auction site.

There will be NO Holiday Shop this year. 

Treasurer’s Report:

We do not have all the final numbers yet from the Harvest Festival.

Mrs. Archer’s Report: Requesting that the custodial team be thanked for their hard work at the Harvest Festival with pizza or perhaps another dinner. Thank you, custodial team, for cleaning everything up!

Garden PTSO Meeting Minutes

08/18/2022

May Minutes motioned by Angie for approval. Heather Eby moved and Melissa Papini seconded. Motion approved.

Angie welcomed all parents and staff in attendance and asked to please “check in” on the PTSO facebook page. Angie recognized and introduced the Board and indicated that Joanna Davis would be stepping in the Secretary role to fulfull the requirement of a staff member being on the Board.

Angie mentioned accomplishments from the past year, including: 100% staff adoption, spring art show, a successful Gator Run, a successful Harvest Fest and Holiday auction, spirit nights at McDonald’s, Spirit Wear store, new business partnerships, family memberships, end of year parties, and much more (despite COVID). Looking forward to new and exciting things this year.

November 18th is the new date for the Harvest Festival, corresponding online auction will be that week as well (specific dates TBD). Start thinking of booth ideas as well as auction items.

Treasurer report: Heather presented Amy with a check for Social Studies books. Reminded those in attendance of adopt-a-class, and reminded teachers that adoption funds are “use it or lose it”. The PTSO is accepting only scanned .pdf versions of receipts (no paper receipts). More to come on a tutorial for submitting receipts.

Spirit Wear store is open until August 26, please get your orders in!

November 2 is our first Spirit Night at McDonald’s. Requesting staff attendance to work inside and in the drive-through. 4-7pm. The Spirit Nights at McD’s help fund the senior scholarships.

There are several sign-up sheets on the table to be on “teams” for different PTSO events. Please sign up if you’d like to help with a specific event.

Mrs. Archer’s moments: Mrs. Archer thanked the board for their hard work during Meet The Teacher including the photo backdrops, lounge snacks, and reiterated how much she appreciates the partnership with our PTSO. She also thanked Community Media (in attendance) for their Platinum sponsorship.

Our next meeting will be in the Media Center at 3:45pm on 9/15 (Dot Day!)
