Food Service Inspection Reports

On June 30, 2008, Senate Bill 1908 was approved by the Governor. This bill, among other things, states, "Each school cafeteria must post in a visible location and on the school website the school's semiannual sanitation certificate and a copy of its most recent sanitation inspection report." While the language of the law states "semiannual sanitation certificate", we have informed the Department of Education (DOE) that sanitation certificates (food licenses) are issued annually and remain valid for a year. Further, DOE has informed us that the reference to the "posting of the sanitation inspection report" refers to the school's food hygiene (cafeteria) inspection report (DH Form 4023); it does not include the physical plant report (DH Form 4030). The Department of Education is in the process of preparing their school districts to comply with this standard. Their current proposed methodology for website posting will be to scan a copy of the appropriate documents. We have informed DOE that the use of each school's copy of the inspection report (the yellow copy) should be adequate for on site posting purposes.

Inspection personnel must continue to be vigilant in ensuring that inspection reports are legible, accurate, complete and easily understood. This will require that inspectors review the school's copy to ensure that all of the details are fully visible and adequate for scanning. Additionally, inspectors must refrain from writing in the margins and using unnecessary abbreviations. The department's continuation form (DH Form 4104) captures inspection information when the space allowance is exceeded on the inspection form of any of the environmental health statewide programs; please use this form when necessary.

While the posting of food hygiene inspection reports is a requirement for schools, it is not required by our department's rules. Therefore, it is not our responsibility to monitor compliance with this requirement.
